Before you log anything, check what is eligible
The tracker is an organizing tool — it does not decide what AccessOAP will reimburse. Logging an ineligible expense still leaves you out of pocket. Read the eligible expenses rules first, then log with confidence.

Tracker ≠ eligibility check
This spreadsheet will faithfully add up whatever you enter. It does not validate the expense against OAP rules. Treat the eligible expenses page as the authoritative source.

When should I start using it
Start before services begin. The earlier you set up a tracking system, the less scrambling you do when it is time to reconcile.
Do not wait until your first invoice
Families who start tracking from day one report less stress during reimbursement. Set up the tracker the day you get your Core Clinical invitation.
What this tracker is not
This is a personal organizational tool. It does not replace the official AccessOAP expense form required for reimbursement. You still need to submit invoices through AccessOAP to receive your funding. The tracker helps you stay organized so that process goes smoothly.
You still need to
- Submit invoices through the AccessOAP portal
- Keep original receipts for at least 7 years
- Get written recommendations for materials and supplies
- Use providers who meet OAP qualification requirements (regulated and in good standing with CPBAO, CASLPO, or COTO). The OAP Provider List is one search tool, but it is voluntary, so qualified providers may not appear on it.
